The Senior Executive Admin coordinates and administers highly complex and confidential activities that need to be resolved daily in a responsible, efficient, and timely manner. This individual ensures that their leaders can remain focused on strategic priorities through proactive support with calendaring, managing email, etc. and will be engaged to support enterprise-level initiatives and events as needed.

Responsibilities

  • Proactively provide administrative support for members of the ELT and/or Senior Leadership team ensuring routine and complex matters are handled in a timely and professional manner
  • Calendaring – proactively manages all calendar items, ensures invitations are sent timely and accurately
  • Meeting Management – schedules with appropriate audiences, manages responses, resolves conflicts, coordinates tasks such as contacting participants, preparing agendas, taking and distributing minutes
  • Technology – ensures that knowledge and understanding of the technology used in department meetings and presentations is mastered, including video and teleconferencing platforms, mobile devices, laptops, etc. so that assistance calls, set-up, and troubleshooting can be resolved immediately
  • Event Management – ensures that all arrangements for any corporate sponsored, industry, and internal events are completed including travel, room reservations, registration, speaking engagements, etc. through collaboration with internal and/or external teams
  • Expense Report Management – ensures that all expense reimbursements and invoice processing requests are completed in a timely manner and in accordance with financial policies.
  • Travel – books and manages all travel requests including airfare, hotel, ground transportation, dining reservations. Ensure information is readily available per the leader’s preferences
  • Presentation and Reports – develops reports and presentations using the appropriate templates as requested. Proofread for acceptability prior to providing to the requestor. Distribute as directed.
  • Manage Correspondence – processes email, US mail, packages, etc. based on agreed upon access with the leader. Routes correspondence or action items to appropriate staff and request action/information on behalf of the leader. Initiate follow-up to ensure action was taken as appropriate by the receiving party.
  • Team Meeting support – where applicable, attends meetings, takes minutes, and reports on action items as needed. Prepares and maintains correspondence and documents.
  • Onboarding – works with HR to onboard assigned new leaders as needed. Completes appropriate forms and needs as a part of the onboarding process.
  • Confidentiality - must maintain strict confidentiality of information obtained through all communication methods.
  • Prioritization – direct and master a prioritization system for email, mail, voicemail, and meetings to bring high priority items forward for interactive dialogue and direction. Rapidly handle or delegate the low priority workflow activities to the EA team and/or Admin Advisor Group
  • Interact and communicate professionally on all appropriate business priorities at an executive level and with all levels of internal employees and external contacts.
  • Back-up – acts as a backup for peers when needed
  • Process Improvements – partners with executive admin and admin assistant teams to streamline and standardize processes and procedures. Utilize technology to improve the efficiency of the role.

Requirements

  • 6+ years of related experience. All relevant experience including work, education, transferable skills, and military experience will be considered
  • Advanced skill level in Microsoft Word, Excel and PowerPoint. Working knowledge of virtual platforms, such as Microsoft Teams and Zoom
  • Superior communication skills necessary to comprehend, compile and speak to communication on behalf of the leader to all levels of the organizational, including internal staff and external contacts
  • Strong organizational skills that enable proactive handling of multiple priorities with a sense of urgency
  • Ability to work under general direction and be able to complete functions with minimal guidance/direction while producing accurate and quality results.
  • Proven ability to handle confidential information with discretion
  • Ability to anticipate and resolve issues effectively
  • Ability to work effectively independently and as part of a functional team
  • After normal working hours work may be required to respond to urgent requests
  • High school diploma (or equivalency) and legal authorization to work in the U.S.
